SUMMARY: The Secretary III for the Student Services Office assists the staff of the Counseling Center (CC), Career Services (CS) and Student Success (SS) in coordinating day-to-day office operations. This position reports to the Director of Counseling Services, but will be responsible for assisting other members of the three offices as required.
ESSENTIAL FUNCTIONS:
Serves as front desk receptionist for the Student Services Office: answers and directs department phone lines, assists all walk-in visitors, provides information on an as needed basis, and directs visitors to appropriate staff.
· Manages and performs the daily secretarial needs of the CC, CS, and the SS Office.
· Receives and delivers department mail and maintains adequate office supply inventory.
· Schedules and coordinates appointments for the CC, CS, and the SS Office.
· Maintains weekly reports and statistics of students served for the Student Services Office.
· Plans and attends departmental functions and assists various staff in problem solving in their responsible areas.
· Maintains in-house library, filing system and department forms on the office shared drive.
· Maintains excellent rapport with students, parents, staff, faculty and vendors.
· Supervises student workers.
· Performs related duties as assigned.
MINIMUM QUALIFICATIONS:
· High School diploma required; Bachelor degree preferred.
· Three years of consecutive successful work experience as secretarial support.
· Proficient working knowledge of Microsoft Word, Excel, and Outlook programs.
· Excellent phone skills with the ability to clearly communicate with staff, faculty, students, and parents.
· Excellent organizational skills and the ability to coordinate multiple tasks concurrently.
· Sincere interest in students and their education.
· Must be able to maintain confidentiality and to work with minimum supervision.
· Ability to independently compose routine letters and prepare and edit reports.
· Ability to handle information in a professional and confidential manner.
· Ability to work cooperatively with a variety of people and exhibit a high standard of honesty and integrity.
· Physical ability to lift up to 25 lbs and manual dexterity to perform filing and organizing.
· Ability to perform basic mathematical procedures with accuracy.
· Knowledge and acceptance of principles and philosophies of Vanguard University.
· Maintenance of lifestyle consonant with Vanguard University principles and values.
SALARY: Part-time (30 hours per week), 10 month position from August 1st to May 30th. Salary is commensurate with education and experience and includes a generous benefits package.
